Experience has shown me that in today's fast paced society, it is becoming more and more difficult to prioritise and manage time.  There always seem to be so many things to do and they all feel like they should be the top priority.
 
In this month's newsletter, I will share some tips and advice to help you to manage your time better and allow you to take back control of your life!

Eat your frog

FrogYour frog is your biggest, most important task.  It is the one you are most likely to put off and the one which is likely to have the most impact on your life.  And think, if you don't eat your frog today, it will become bigger and uglier and more difficult to eat!

So, develop new habits today to complete your most difficult tasks, and raise your confidence, energy and self-esteem.
 
Let's look at some of the rules of success.
 
1. Before you eat your frog, you need to determine what it is.  Clarify what you want to achieve. When you are clear about your goals, it makes it easier to overcome procrastination.  If you set a time deadline on the achievement of your goal, it makes it easier to measure your success.  
 
2. It may help you to break down your goal into specific tasks, then start on the first step.  Small steps each day will help to make it happen. 
 
3. Consider what tasks will give you the best outcome and return on your time.  The 80/20 rule may help.  This means that 20% of all your activities will account for 80% of your results.  If you achieve the most important things, you will get the best return on your time.
 
4. When you are prioritising your tasks, consider the consequences of doing or not doing something.  This will help you to evaluate the significance of the most important tasks.
 
5. When you have decided what you are going to do, prepare thoroughly before you begin.  So clear your desk and have everything you need laid out in front of you before you start.
 
6. Planning is essential when you want to eat your frog.  Plan every day in advance.  Every minute you spend planing can save you 5-10 minutes in actually doing the task.  Now you need to decide which part of the frog you want to eat first!

ClockYou now have some great actions to help you to achieve success.  But how do you know what really has to be done?
 
There are various time management tools which you can use alongside the tips above, but this is one I like the best.
 
Take a large piece of paper.  Divide it into four quadrants and label each area as follows:
  1. Urgent and important
  2. Not urgent and important
  3. Urgent and not important
  4. Not urgent and not important

Take a packet of post-it notes and write on individual notes all the things you want to do over the next week.  Then stick each note on the relevant quadrant on your piece of paper as follows.

Quadrant 1 items are those which require your immediate attention and insist on action.  These may include pressing problems or activities with a deadline.

Quadrant 2 items are those which are important to you, but do not require your immediate attention.  This is the best quadrant as it allows you to be proactive and make things happen, without the urgency of 1. So this may include relationship building, planning and recognising new opportunities.
 
Quadrant 3 items include activities such as interruptions, some calls you may need to make, pressing activities and dealing with general mail.
 
Quadrant 4 items include items that are trivia and time wasters.  Do you really need or want to do the things that you have identified in this area? Or could you delegate them to someone else!

When you want to manage your time better, it is good to find out where your time goes.  Do you spend too much time surfing the Internet or watching TV? Or do you simply have too much to do with too little time?
 
Why don't you keep a diary of how your spend your time?  Then you can get a clear picture of where your time goes and where you can create more time to do what you want to do.
